How to Save Time and Money with Dubsado

If you’re wondering how a tool like Dubsado can save time and money—the two biggest commodities most entrepreneurs never have enough of—read on!

Today I want to share some real numbers that will make it easier to grasp just how much time and money you can save by automating your process.

Save Time

We’re going to do some math calculations here, so bear with me!

Let’s say that on average you receive 5 new leads in your business every month. It takes you roughly 15-20 minutes each in order to respond to those leads and set up an initial meeting to discuss their needs. So far that adds up to between 75-100 minutes (1-2 hours) per month.

You have your meeting, discuss their needs, determine they’re a good fit, and you’re ready to send them a proposal and contract so they can sign up. Great! Drafting the proposal and contract for each of those leads probably takes you a minimum of 30 minutes (but could easily take up to an hour or more if you’re creating it all from scratch). So 30 minutes times 5 leads is 150 minutes (2.5 hours) per month. Add that to our previous total and we’re up to 3.5-4.5 hours every month.

What about follow up after sending the proposal? Do you even remember to do it consistently? Sending follow up emails probably takes 15-20 minutes per lead, totaling another 75-100 minutes (1-2 hours) per month. Add that to our running total and we’re up to 4.5-6.5 hours every month just on lead management (no one has even signed up yet!).

Let’s say you’ve got a pretty decent closing rate and 50% of your leads actually book your services (woo-hoo!). How long does it take you to onboard each of those 2.5 new clients? This would include welcoming them into your business, setting expectations, collecting login info or other documents you need for the project, etc. Maybe 1 hour each? So that’s 2.5 hours onboarding your new clients, which puts our running total up to 7-9 hours every month.

What about project management? How much time do you spend throughout the project trying to figure out what the status is or feeling disorganized in general? Most people I’ve talked to say anywhere between 15-60 minutes per client, totaling anywhere from 37.5-150 minutes! For argument’s sake, let’s go with something in the middle and say 1.5 hours per month feeling disorganized. That brings our total up to 8.5-10.5 hours every month.

Most of the clients I work with provide creative services and need to request client feedback and revisions. We all know the timing of this can vary drastically depending on client communication. However, for this example, let’s assume you have pretty good clients who don’t ghost you. On average you’re probably still spending around 45 minutes each asking for client feedback. Add that to our running total and we’re up to 10.38-12.38 hours every month.

Finally, let’s think about your offboarding process (you do have one, don’t you?). Offboarding includes sending all the final deliverables, tying up loose ends, remembering to remove your access to your client’s accounts, asking for testimonials, etc. Assuming you remember everything to do, this probably takes a good 45 minutes or so per client.

That puts our grand total for lead and client management between 12.25-14.25 hours every single month when you handle everything manually.

But what if I told you that number could be reduced by an average of 85%??

Instead of 12.25-14.25 hours, you could only be spending around 2 hours per month managing leads and clients.

How?

Now that we’ve calculated the time savings you could have, let’s really bring it home and translate that into dollars.

Even if you aren’t charging clients by the hour, think about what your highest average hourly rate is. What is 1 hour of your time worth? $50? $100? More?

Let’s keep the math easy and go with $100/hr. So if you’re spending 12.25-14.25 hours every month managing your leads and clients manually, that equates to $1,225-$1,425 worth of just admin work. Multiply that out to an annual rate and you’re looking at $14,700 – $17,100! 🤯

But when we bring something like Dubsado into the picture and you’re only spending 2 hours per month on admin, that’s a measly $200 bucks. Multiply THAT out to an annual rate and you’re only looking at $2,400 for the ENTIRE YEAR.

We could take this even further if we wanted. Think about what else you could be doing with the 10-12 extra hours you’d be saving each month…could you:

  • Do more marketing, which brings in more leads?
  • Take on more clients, which brings in more revenue?
  • Serve your clients at a higher level, which allows you to raise your rates?
  • Take time off, which allows you to stay fresh and keep the creative juices flowing?
  • Spend more time with friends & family, which gives you a better work/life balance?

The possibilities are endless when you’re able to save time and money in your business!
