3 Foundational Steps for Using Dubsado Like a Pro

There are 3 foundational steps to using Dubsado like a pro. But first…

Imagine you own a Lamborghini…it’s sleek and shiny, fire red, goes 0 to 62mph in just 2.9 seconds, and turns every head as it whizzes by! 🏎

Now imagine you ONLY use it once a week…to go grocery shopping…at the corner store down the street…where the speed limit tops out at a whopping 35mph. 😳

What a waste! There’s SO much more potential that car has if you would just drive it the way it was meant to be driven.

I see so many of my clients in this exact scenario all the time. Except the Lamborghini is Dubsado and they’re only using it to send contracts and invoices. 🙄

By following these 3 simple steps, you’ll be well on your way to using Dubsado like a pro

Step 1. Begin with the end in mind…

It sounds cliché, but it’s true! When you begin with the end result of your automations in mind, it’s SO much easier to create the right content and connect that content together through workflows.

First, pull out a sheet of paper or open up a Google doc. Brain dump your entire process, start to finish. This could be the process for new leads to contact you, book a Discovery Call, and submit intake information, for example. Or maybe it’s your onboarding process that you want to work on. It could even be the ENTIRE client journey from initial inquiry all the way through the final testimonial (and beyond). Whatever process it is, you need to get it out of your head and down onto paper.

Once it’s down on paper, go back through and organize the steps into the correct chronological order. This is also a good time to fill in any gaps you may have. This will ensure a smooth workflow and streamlined process!

Step 2. Now that you have a clear picture of your process, pick out which pieces can be “pre-created” as templates.

In Dubsado, you can create templates for schedulers, forms, emails, packages, and payment plans. The more standardized you can make your templates, the quicker and easier they will be to incorporate into your automations.

When writing your email templates, it helps to write them in the order they will be sent to clients according to the process you wrote down in step 1. This will keep the conversation moving forward in your brain. It will also be easier to think about what the client knows and needs to know at each step.

Depending on the different types of forms you need to create, some forms (like proposals) may vary from client to client. As a result, this might make you feel hesitant about creating a “master” template. However, you should be creating at least a standard layout that can be used for every client so all you have to do is tweak a couple small sections before sending it out. This will save you HOURS of time.

3. The final step is to build out your workflows to match the process you wrote out in step 1 by connecting the content you created in step 2.

For the most part, setting up workflows in Dubsado is simply a matter of:

  • Putting the actions you want to happen in the right order (top to bottom)
  • Following the on-screen prompts to give Dubsado a little more detail so it knows specifically when to trigger each action

If building your workflows and allowing automations to run “on their own” scares you, add a “required approval” whenever possible. Required approvals will prompt you to check the action before it actually goes out to your clients. You can also add extra ToDo tasks in your workflow so there are additional “pauses.” ToDo tasks can include more details to remind you to make specific changes to your workflow actions before they occur (like customizing the proposal). These pauses will help you build confidence in the fact that you built your workflows correctly and they’re not going to embarrass you. Later on as you feel more comfortable with your automations, you can remove these and let Dubsado do the heavy-lifting!

And that’s all there is to it! By spending time on each of these 3 steps up front, you’ll be using Dubsado like a pro in no time!
